Job Description
The Role
We have an exciting opportunity for a motivated Staffing Manager to join our Nursery Operations team here at Kiddie Capers Childcare.
In this role, you will be accountable for ensuring our staff team are in the right place at the right time. This will include planning the staff rotas and ensuring ratio compliance, managing staff absence and staff changes as well as managing our brand-new relief team. The ideal candidate will have strong nursery leadership skills, exceptional attention to detail and experience with staffing and scheduling.

The hours for this role are 40 hours per week. Monday-Thursday you would work 06:30am-16:00pm and Friday 06:30am-10:30am.
You will be able to work from home whilst covering the absence line (06:30 to 08:30am) and then join the rest of the team in Head Office in Bolney.
Key Responsibilities:
- Plan and publish staff rotas a minimum of 2 weeks in advance for Kiddie Capers sites using the available scheduling systems and communication tools
- Ensure that staffing schedules meet required ratios and reflect accurate booking numbers in the master rota
- Provide effective line management for the relief team, working with the Area Managers to ensure they are performing their roles to company standards
- Build and maintain knowledge around individual site requirements, understanding any nuances and ensuring these are accounted for
- Proactively review upcoming schedules to identify and address potential pinch points, such as holiday or absence coverage
- Monitor and manage the absence line, taking calls from 6:30am to arrange cover for sickness and other absences
- Communicate with relevant staff members and managers when shift changes are required
- Ensure numbers from Famly are updated each morning and then reallocate staffing if required
- Record absences onto the HR information system
- Monitor and ensure compliance with holiday booking rules, addressing any challenges in advance
- Model future staffing requirements to support flexible working requests, expansions and role replacements when staff leave
- Manage bank staff by coordinating availability and assigning shifts to meet the business needs
- Track and report overtime, unpaid leave, and other working pattern adjustments to payroll for accurate processing
- Maintain accurate data, including staff future availability, to provide insights for operational planning
- Support the implementation of systems and processes to streamline staff scheduling, making them as efficient and accurate as possible
- Continuously seek opportunities to improve scheduling methods, processes, and data management practices
- Provide support within the Nursey Operations Team as directed by the Nursery Operations Manager
- Ad-hoc projects as required by the Senior Leadership Team
- Any other duties and requirements associated with your job and, in addition, as a term of your employment you may be required to undertake various other duties as may reasonably be required.
Requirements:
- Strong Nursery leadership experience
- Proven experience in scheduling and staff leadership
- Strong organisational skills with exceptional attention to detail
- Excellent interpersonal and communication skills, capable of building relationships working effectively with staff at all levels
- Strong problem-solving skills and the ability to work effectively under pressure
- Proactive and solutions-oriented mindset, with the ability to anticipate and address challenges
- Strong IT skills are essential, including proficiency in Excel and, ideally, experience with scheduling systems
- Team player with a positive and professional attitude
- Ability to work at pace
