Job Description

Job Summary

This role will provide support to the Onboarding Team by carrying out general administrative duties within the onboarding Team. This role involves organizing, reviewing, storing documents and updating information on ERP (COINS).

You will be working within this fast-paced team that is operating for the group, therefore building relationships with vendors from every sector.

The role will also be working closely with procurement/purchase ledger/site and vendors, ensure a smooth process and they all conform to procedure.

You must be comfortable liaising with internal staff and external companies.

Job Details

Primary Tasks and Duties:

  • Working with vendors and internal stakeholders, ensuring transferring of data is accurate. Ensuring the process works, escalating and resolving issues.
  • Communicating with our internal Insurance team
  • Assist with data cleansing within ERP (COINS)
  • Completion of credit applications/PCG’s
  • Assist with chasing expired certification and Insurance (email reminders)
  • Assist with managing the data within insurance spreadsheet
  • Investigate queries with Buyers, Purchase Ledger and Quantity Surveyors.
  • Ensuring compliance within the onboarding procedures.
  • Responsible for reporting on COINS
  • General Housekeeping within Coins above normal day to day workload.

Skills and Abilities

Essential:

  • ERP system experience
  • Supply chain management experience
  • Able to use standard Microsoft Office Programs such as Excel, Outlook etc.
  • Good organiser, able to prioritise their workload
  • Ability to work to tight deadlines as part of a team and individually
  • Hands on approach to problem solving
  • Strong communication skills in writing, telephone & face to face
  • Ability to liaise with both internal and external contacts
  • Basic numeracy skills
  • Good time management skills

Desirable:

  • Experience of working within the construction industry
  • Experience in a fast paced Administration role would be advantageous
