Are you a good planner with logical thinking? Ever had any experience in the maintenance and repairs sector? We are looking for an enthusiastic, customer service driven Scheduler who can support our business and its values.

The Role:

The Scheduler will work within a busy team taking responsibility for the planning and scheduling of our operatives’ work commitments, delivering response repairs and maintenance to our customers.

The required duties of the successful candidate will be:

  • Assisting in scheduling appointments, raising and issuing purchase orders
  • Planning operative working activities, responding to an ever-changing environment
  • Telephone and email communications with the client/sub-contractors/operatives/residents, ensuring first fix of repairs are completed in an efficient manner to the customer’s satisfaction
  • The proactive monitoring of customers’ experience of our service, providing feedback and suggestions on how we can improve
  • Assisting the Contracts Manager in administrative duties to provide an efficient, high quality service

Essential:

  • Right to work in the UK
  • Live within a commutable distance to Reading (this is not a hybrid role)
  • Excellent Communication Skills
  • IT Literate as you will be using our in-house system(s) to add calls/repairs to the system and then allocate to the relevant trades person to complete the works
  • Ability to work under pressure
  • Highly organised with a good attention to detail
  • Proactive and positive, ‘can do’ attitude

Desirable:

  • Experience in a repairs & maintenance environment
  • Experience with working with engineers diaries/scheduling day to day or reactive repairs (specific training will be given for our in-house systems)

Job Description

We are looking for a personable, creative Scheduler to manage the overall activity of our engineering team and the jobs which have been delegated for delivery on a reactive basis. The role will encompass the delivery of wide variety of tasks, with a focus of this role being the deliverance of excellent administrative service in line with contract specific SLA’s.


Main Duties

Efficient clerical and administrative support as required including but not limited to:

  • Managing calls from Client, Engineers, and Operations Managers.
  • Ensure all jobs are logged and issued to Mitie Engineers or Contractors within the SLA set by the client.
  • Monitor Aria and SG Helpdesk Mailbox to ensure all enquiries are actioned in a timely manner.
  • Where required raise and issue purchase orders. Also ensure weekly Approved to pay report is actioned.
  • Where required ensure that an OSHENS permit is raised, submitted, and approved to ensure that all contractors are SG security cleared to attend site.
  • Chase all open jobs and update CAFM system with accurate updates and ensure all jobs are monitored to closure in a timely manner.
  • Participate in the weekly Ops/Helpdesk conference call to review all open reactive jobs.
  • Support the SG Security Clearance process by forwarding all request for clearance to the SG security clearance team.
  • Support PPM co-ordinator with date changing, weekly job allocation and uploading certification.
  • Any other requirements of Line Manager

Please note that this position is dependent upon the successful candidate passing BPSS security clearance.
