Job Description – Document Controller

We are a Mechanical, Electrical and Public Health Design Consultancy that designs and delivers high quality, award-winning projects working direct for Developers, Main Contractors and MEP Sub-Contractors across all RIBA Design stages.

Key Responsibilities:

Document Management: Ensure accurate management and organization of all project documents, including drawings, specifications, reports, and correspondence.

Document Control Systems: Maintain and manage electronic document management systems (EDMS), ensuring documents are correctly filed and easily retrievable (such as 4-Projects, ProjectVault, Conject, BIW, ASite, Doc Hosting & Buzzsaw).

Distribution and Access Control: Manage the distribution of documents to relevant stakeholders, both internally and externally.

Compliance and Standards: Ensure all documentation complies with company standards, industry regulations, and client requirements.

Version Control: Track and manage document versions, ensuring the latest versions are available and obsolete versions are archived or disposed of according to protocols.

Quality Assurance: Conduct regular audits and reviews of document control processes to maintain high standards of quality and consistency.

Training and Support: Provide training and support to project teams on document control procedures and the use of document management systems.

Reporting: Generate reports on document status, compliance, and any issues for management review.

Record Keeping: Maintain comprehensive and accurate records of all project documentation, correspondence, and transactions.

Project Support: Provide administrative support to project teams, including assisting with the preparation of reports, presentations, and other documentation as required.

Job Summary:

The Document Controller assists the Document Control Manager in managing the registration, receipt, distribution and issue of all contract documentation, as well as implementing and maintaining procedures for the production, issuing and registering of all formal project documentation. Typically this includes, collating all documents including drawings, keeping a record of document status, liaising with project personnel and chasing outstanding information. Support supply chain in applying information processes. Support the DCM in providing training to the MD team and supply chain.


Key Responsibilities:

  • Accurate records of all documents at all times
  • Distribute documents to the relevant project team members, ensuring they have the correct documents in a timely manner.
  • Ensure consistency of document submissions in adherence to the project document control procedures
  • Ensure that all project participants have access to the latest documents/drawings through the Document Management System.
  • Issuing of Document Reference Numbers (When Required)
  • To comply with requirements outlined in project Document management plan and BIM Execution Plan
  • Work collaboratively with all Users/Creators/Reviewers providing ongoing support in order to ensure that the project document control processes are followed.
  • Maintain a full audit trail for all documents
  • Ensure the issue, receipt and acknowledgement of documentation
  • File and archive all documents within the secure system
  • Ensure that as built, record drawings and operations manuals are available at the end of the project in a format as may be approved by the client
  • Provide document control for all client/confidential Documentation
  • Support with administration and co-ordination of training of information systems where required. This is to include supporting the supply chain in delivering their Document Control Responsibilities.
  • Ensure all issued documents are compliant and accurate
  • Provide support to system reports to enable project KPI’s to be prepared
  • Provide “super-user” services associated with the project document management systems including folder creation and administration of starters and leavers. Ensure that access permissions/security is correctly applied
  • Ad hoc administrative tasks, as required
  • Assist with the generating of package listings.
  • Provide training to project participants


Technical Competencies:

  • Good knowledge of Document Control systems in a muliti-discipline project
  • Knowledge of data management
  • Ability to apply IT systems relevant to Document Control. (Enterprise Bridge, ProjectWise and Sharepoint, Aconex, others)
  • Competence in the use of Microsoft Office applications
  • Knowledge of bulk scanning and scanning systems

Overview of the role

As Document Controller you will support Delkia’s quality and project delivery teams by ensuring that documentation is accurately organised, maintained, stored and distributed in line with organisational and client standards.

What you’ll be responsible for

  • Supporting with the creation, review and monitoring of and tracking of project documentation
  • Leading on the completion of and upkeep of project related LTRs (lifetime records)
  • Implementing internal and client document control system procedures and processes
  • Performing quality checks on documentation to ensure internal and client standards and specifications are met
  • Saving, retrieving, filing and archiving documentation and records
  • Flowing out project documentation to stakeholders including the transmittals


What you’ll bring

  • Strong attention to detail and eye for detail
  • Experience in administration
  • Knowledge of, or experience in document control principles and practices would be beneficial
  • A good understanding of and experience of working with Microsoft Office 365 (especially Word and Excel)
  • Experience of working with SharePoint would be beneficial
  • Previous experience using Teamcentre very useful

As Document Controller you will be responsible for ensuring that the communication process between contractors and client are followed. This involves using and monitoring the relevant sites and ensuring that the project team are aware of all incoming communication and submitting the same for outgoing.

This position will be working within Infrastructure and Major Projects.

Responsibilities and key activities

  • Manage all incoming notifications relating to project queries.
  • Management of tender documents associated with project – process & archive in line with customer specific requirements.
  • Prepare and upload KONE drawings / documents in line with deadlines to customer / portals.
  • Review document controlling documents from the sales tender documentation to ensure document controlling compliance and understanding.
  • Support Project Managers, Designers, Planners etc. with documents to ensure progress payments / final account are collectable.
  • Upload documents to customer portals. Ensuring that the documents follow the client’s protocol.
  • Prepare documents as required to support project manager and operations.
  • Work as part or KONE project team – provide progress updates on project status and key actions.
  • Create and manage various internal folder structures for Design, Commercial, Document Control and Site
  • Support in managing deadlines of projects, ensure all document control related information is submitted correctly to avoid any financial abatements.
  • Work part of a larger team and provide admin and document controlling support in line with manager requests.
  • Archive all communications.
  • Adhoc admin duties and Team cover.
  • Some travel (2-4 times a month to either our Heathrow or Barking office).
  • Assisting the Admin team periodically.

Skills and Experiences:

  • Worked in a similar position as a Document Controller.
  • Experience in working with client and subcontractors is desirable.
  • Able to work on multiple projects.
  • Be customer focused, understanding the needs of customers and the importance of providing solutions to satisfy short and long-term objectives.
  • Ability to work effectively in a highly complex, diverse, changing environment, whilst adapting to change and maintaining focus on key business goals and objectives.
  • Good communication skills in English both written and spoken.
  • Possess good customer service skills.
  • Pays attention to detail and accuracy.
  • Experience of Aconex, Asite, EDMS is essential.
  • Experience of Maximo, SAP, Salesforce is desirable.
  • Excellent problem solving and analytical skills.
  • A proactive and forward-thinking team player.
  • Willing to continuously learn.
