Job Description

We are seeking an exceptional Executive Assistant (EA) to support a dynamic CEO in Central London, primarily in the Notting Hill area. The EA will also need to be present at the head office in High Wycombe, Bucks, a few days a week, particularly at the beginning of the role.

This is a pivotal role for a highly organized, proactive, and discreet professional who thrives in a fast-paced environment.

The EA will assist the CEO with company matters, manage daily activities, and ensure the smooth operation of both professional and personal commitments.

This position offers a hybrid working arrangement, with 1–3 days per week in the office and the remainder working from home. It is a permanent, full-time role, starting as soon as possible.

Responsibilities

  • Calendar and Scheduling: Manage and prioritize the CEO’s calendar, scheduling meetings, appointments, and travel arrangements while anticipating and resolving conflicts efficiently.
  • Communication: Act as the first point of contact for the CEO, managing emails, phone calls, and written correspondence. Draft, proofread, and edit communications while maintaining confidentiality.
  • Meeting Coordination: Prepare agendas, presentations, and reports for meetings. Take notes and track action items as needed.
  • Travel Management: Plan and book domestic and international travel, ensuring seamless itineraries. Prepare travel briefs, including details of accommodations, transportation, and meetings.
  • Errands and Logistics Support: Run errands and organize deliveries as needed to support both the CEO’s professional and personal responsibilities.
  • Project Assistance: Support special projects, research tasks, and strategic initiatives as directed by the CEO. Track deadlines and milestones for timely completion.
  • Administrative Tasks: Handle expense reports, invoicing, and organize filing systems to ensure records are up-to-date.
  • Personal Assistance: Assist the CEO with personal searches, travel arrangements, and bookings.

Requirements

  • Proven experience as an Executive Assistant, ideally supporting C-suite executives.
  • Exceptional organizational and time-management skills with a keen eye for detail.
  • Experience in a fast-paced corporate environment.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities under pressure while maintaining a high level of accuracy.
  • Discretion and professionalism in handling sensitive and confidential information.
  • A proactive approach, with the ability to anticipate the CEO’s needs and work independently.

Work conditions

  • Schedule: Monday to Friday, 8 hours per day, with some flexibility required.
  • Salary: Competitive, based on experience.
