<p>We are a forward thinking large practice with a patient list size in excess of 10,000. Tarleton Group Practice has 6 partners. 2 nurses and 2 HCAs to complement an experienced admin team. We are based in a large newly refurbished health Centre and have onsite parking and local facilities and shops. We aim to offer a strong team-based supportive and caring working environment.</p>
<p>The following are the core responsibilities of the receptionist. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:</p>
<p>a. Maintaining and monitoring the practice appointment system</p>
<p>b. Process personal, telephone and e-requests for appointments</p>
<p>c. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately</p>
<p>d. Signpost patients to the correct service</p>
<p>e. Initiating contact with and responding to, requests from patients, team members and external agencies</p>
<p>f. Read code data on Emis</p>
<p>g. Photocopy documentation as required</p>
<p>h. Data entry of new and temporary registrations and relevant patient information as required</p>
<p>i. Input data into the patient&rsquo;s healthcare records as necessary</p>
<p>j. Direct requests for information i.e. SAR, insurance / solicitors letters and DVLA forms to the administrative team</p>
<p>k. Manage all queries as necessary in an efficient manner</p>
<p>l. Carry out system searches as requested</p>
<p>m. Maintain a clean, tidy, effective working area at all times</p>
<p>n. Monitor and maintain the reception area and notice boards</p>
<p>o. Support all clinical staff with general tasks as requested</p>

<p>This role will involve working from our clinic in Newry.</p>
<p>A Duality Healthcare Receptionist is the first point of contact a patient will have with our service. They will utilise their effective communication and people skills to welcome, support and facilitate the patient checking into the Practice.</p>
<p>The receptionist will assist with the smooth running of the reception area, waiting room and patient requests. All our receptionists provide phone support to our whole network of clinics and could be answering calls, queries and bookings regarding any and all of our clinics and services. The receptionist will ensure excellent customer service is provided to the patient throughout their contact with Duality Healthcare, maintaining confidentiality and being aware of the Data Protection Act at all times.</p>
<p>The role requires the staff member to develop a high level of familiarity of the working of our Network, signposting patients to the most appropriate services and locations as well as having a great phone manner and excellent IT skills &ndash; we utilise a computerised booking and medical record system.</p>
<p>The receptionist will also provide support for all clinicians to enable the effective day to day running of the clinic.</p>
<p>Detailed Duties:</p>
<ul>
<li>Opening and closing of Duality Health Premises, ensuring security of IT systems, money and activating the message system.</li>
<li>Answer telephone queries and make telephone calls to patients, as and when appropriate.</li>
<li>To be responsible for diverting and restoring the telephone service and clinical system when required.</li>
<li>Welcome, and receive patients professionally and in a courteous manner.</li>
<li>Deal with queries effectively and efficiently in line with Duality Healthcare Procedures.</li>
<li>Manage the appointment system by booking appointments for patients with doctors and other members of the primary care team, and cancelling appointments as requested.</li>
<li>Take payment for appointments made over the telephone, or invoices accrued during their visit.</li>
<li>Ensure security of data in accordance with the GDPR/ Data Protection Act / Information Governance, following the appropriate protocol for recording and management of same.</li>
<li>Ensure the appropriate line-manager is notified of any refunds which require action.</li>
<li>Process repeat prescriptions as per clinical direction.</li>
<li>Ensure the waiting room is kept tidy, clean and welcoming.</li>
<li>To take, record and pass on messages accurately, for all staff within Duality Healthcare.</li>
<li>Deal with registering patients, ensuring information such as Name, Address, GP Surgery, email address are accurate at the time of booking.</li>
<li>Know how to operate all office equipment.</li>
<li>Ensure the accurate maintenance of patient data, updating patient records as necessary.</li>
<li>Work additional hours to cover other members of staff for annual leave and periods of extended sick leave.</li>
<li>Be prepared to work additional hours on an ad hoc basis to complete specific pieces of work, as deemed appropriate by your Practice Manager or Clinical Director.</li>
<li>Ensure all appropriate colleagues are aware of any information which needs to be passed from one shift to another.</li>
<li>Actively engage in internal and external training, courses and meetings, as required.</li>
<li>Offer refreshment i.e. tea and coffee as required.</li>
<li>Any other duties deemed commensurate with individual skills and experience by your line manager e.g. Mentoring new staff</li>

<p>Duality Health was the first Private GP Clinic in Northern Ireland. Now at Duality Healthcare, we provide appointments 7 days-a-week with appointments from 9am-9pm Monday to Friday, 9am-6pm Saturday &amp; Sunday across our network.</p>
<p>We have clinics in Newry, Galgorm (Ballymena) and Omagh. 2024 will see the opening of further clinics in L/Derry, Belfast, Camlough as well as a Virtual Urgent Care &amp; GP Provincewide offering.</p>

<p>Working on the surgery&rsquo;s front desk, you will be the first point of contact for our patients, signposting them to the most appropriate clinician or source of help for advice, greeting patients, taking calls, making patient appointments and issuing prescriptions.</p>
<p>We aim to provide a friendly, caring environment for our patients, the ethos for which extends to our dedicated staff, who all support each other whilst remaining committed to making a real difference for patient outcomes. This is evidenced through the positive feedback and compliments we receive as a surgery and for which we are very proud.</p>
<p>This is a busy and fulfilling job and requires a flexible mindset, a welcoming and empathetic team spirit and a &lsquo;can-do&rsquo; attitude. Operating over two surgeries on the outskirts of Newbury, within 15 minutes&rsquo; drive of each other, this rewarding part-time position will be based over both practices.</p>
<p>Our ideal candidates will be able to demonstrate that they have the required skills for the role and whilst experience as a Receptionist in a GP Surgery is desirable, training will be given to the right persons. All new staff follow a comprehensive minimum two-week Induction program and shadow experienced staff their first couple of weeks. We encourage professional development and learning, the majority of which is undertaken online through e-Learning.</p>
<p>Morning shifts commence 8:00 until 13:30, afternoon shifts 13:30 to 18:30 with the option to cover some late evening surgeries (up to 20:00) plus working extra hours to cover annual leave and other absences and occasional Saturday mornings for extended surgeries.</p>
<p>Can offer between 20-30 hours per week. Various shifts available. To work at Kintbury Surgery AND Woolton Hill Surgery. Hours can be negotiated.</p>
