<p>We are looking to recruit a dynamic Office Administrator whose main role would be to manage all the incoming telephone calls to the office, take all new enquiries by phone, email and post, manage post on a daily basis, sending quotes, redacting documents, preparing instructions and undertake all the other administrative duties of the office. You will be working as part of a team of 3 Office Administrators.</p>
<p><b>Role Description and Key responsibilities</b></p>
<p>&middot; To manage all incoming phone calls and transferring them to the relevant staff member</p>
<p>&middot; To take all new enquiries by phone, emails and post</p>
<p>&middot; To manage and update the case management database including opening new files and adding the new enquiries, closing files and archiving</p>
<p>&middot; Liaising with solicitors, private clients and professional/ regulatory bodies to obtain all information regarding a new enquiry</p>
<p>&middot; To manage all incoming and outgoing post including posting documents, depositing cheques and organising couriers etc</p>
<p>&middot; To prepare reports and maintain spreadsheets related to new enquiries</p>
<p>&middot; To undertake admin duties such as photocopying, scanning, filing and de-filing, shredding etc.</p>
<p>&middot; To ensure cleanliness of all MEWA offices including hoovering, emptying bins etc.</p>
<p>&middot; To manage the office supplies and ordering them as and when required</p>
<p>&middot; To support all other staff in preparing quotes, chasing quotations, contacting experts and redacting documents, on an ad hoc basis</p>
<p>&middot; To support all other staff in preparing instructions on a regular basis, including redacting documents, preparing the database and checking documents for specific information.</p>
<p>&middot; To support other staff members to make room bookings, setting up urgent appointments</p>
<p>&middot; To support Directors with recruitment and work placement administration</p>
<p>&middot; To maintain administrative spreadsheets as required by the Office Manager</p>
<p>&middot; To work alongside other staff members including assistant case coordinator, case coordinators and cover them during lunch breaks, annual leave, sick leave etc.</p>
<p>&middot; Chasing invoices from solicitors and experts and supporting Accounts Assistant when required, on an ad-hoc basis</p>
<p>&middot; To be able to deal with highly sensitive and confidential information</p>
<p>&middot; To raise the profile of MEWA at all opportunities</p>
<p>&middot; Any other appropriate and reasonable tasks in relation to the employment as agreed with your line manager.</p>

<p><b>Essential Criteria</b></p>
<p>&middot; Experience of working in a busy office administrative role; preferably in the legal sector</p>
<p>&middot; Experience of taking new enquiries or new orders</p>
<p>&middot; Experience of managing reception or team&rsquo;s/ department&rsquo;s phone calls</p>
<p>&middot; Experience of using database including opening and closing files</p>
<p>&middot; Experience of managing post</p>
<p>&middot; Experience of preparing documents</p>
<p>&middot; Experience of liaising with professionals by phone and emails</p>
<p>&middot; Educated to GCSE level, with a minimum of 6 GCSE passes at grade C or above (or equivalent), including English and Maths</p>

<p>&middot; Proficient in use of Microsoft office including Word, Excel and database management.</p>
<p>&middot; Excellent communication skills, both verbal and written, with the ability to develop good working relationships with solicitors and clients.</p>

<p><b>Accounts Administrator (Credit Control and Invoicing)</b></p>
<p>&middot; To develop an excellent understanding of MEWA processes and policies with credit control and invoicing</p>
<p>&middot; To develop an excellent understanding of various funding streams, different kinds of invoices and MEWA payment terms and conditions</p>
<p>&middot; To send Statement of Accounts to our customers on twice a week basis</p>
<p>&middot; To proactively chase all outstanding invoices from solicitors, insurance companies and private clients by telephone and email within agreed timescales, as per MEWA policy and procedures</p>
<p>&middot; To prepare all invoices for MEWA and sending them to instructing parties/ private clients in a timely manner</p>
<p>&middot; To undertake any invoice amendments, as required and re-sending invoices in a timely manner</p>
<p>&middot; To check incoming invoices from experts, update the in-house case management system with the incoming invoices</p>
<p>&middot; To undertake reconciliation of expert&rsquo;s invoices to ensure they are correct</p>
<p>&middot; To update the in-house case management system with updates to invoice chasing, payments received, and payments made</p>
<p>&middot; Liaising with instructing parties to ensure correct invoices are submitted and to understand their procedures of processing our invoices to ensure timely payment</p>
<p>&middot; To manage mystery payments</p>
<p>&middot; To amend invoices and issue letters for overdue payments and late payment charges such as final warning letters</p>
<p>&middot; To update the in-house case management system with updates to expert&rsquo;s profiles related to their payment plans and invoice details as well as updates to invoices</p>
<p>&middot; Notifying experts for payments made and instructing parties for payments received</p>
<p>&middot; Be the first point of contact for all credit control/ billing queries and expert invoice queries from clients and internal staff and provide accurate and prompt advice</p>
<p>&middot; Dealing with remittance advice, cheques and banking slips on a daily basis</p>
<p>&middot; Monitor all active cases for invoices and payments to ensure invoices have been sent out in a timely manner and payments have been received in a timely manner</p>
<p>&middot; Liaise with solicitors/ account departments when debt is due</p>
<p>&middot; Administration related to bad debt such as identifying firms in liquidation and any related administration tasks</p>
<p>&middot; Weekly reporting for huge debtors and Monthly reporting for all outstanding and received invoices as well as any ither invoicing statistics</p>
<p>&middot; Notify management of credit control and invoice disputes/ issues arising</p>
<p>&middot; To cover other Accounts Administrators in their absence</p>
<p>&middot; Dealing with firms in liquidation as and when required</p>
<p>&middot; To be able to deal with highly sensitive and confidential information</p>
<p>&middot; To raise the profile of MEWA at all opportunities</p>

<p><b>What you&rsquo;ll be doing</b></p>
<p>As an Estate Coordinator you will be working as part of our Service Delivery team to process workflows in a timely &amp; efficient manner. You will ensure our excellent service standards are always met by meeting or exceeding quality standards. You will be working alongside our Personal Estate Managers and with the wider business to make our estate administration as smooth and easy as possible for the families going through bereavement whilst having empathy and understanding on the difficult situations.</p>
<p>Typical duties include:</p>
<p>&middot; Handling incoming &amp; outgoing calls with our clients, beneficiaries and third parties</p>
<p>&middot; Supporting our Personal Estate Managers with administrative tasks related to their estates</p>
<p>&middot; Processing incoming funds, reconciling estate assets and updating financial records</p>
<p>&middot; Drafting and reviewing correspondence</p>
<p>&middot; Complete new file setups, including detailed reviews of all legal documents per estate</p>
<p>&middot; Carry out estate file reviews to include the encashment or transfer of estate assets once Grant of Probate has been obtained</p>
<p>&middot; Conduct insolvency checks, Will searches and anti money laundering checks</p>
<p>&middot; Assist with submitting applications to the Probate Registry for Grants of Probate</p>
<p>&middot; Liaising with third parties to obtain outstanding information related to estates</p>
<p>&middot; Paying debts and expenses on estates</p>
<p><b>The ideal candidate </b></p>
<p>The ideal candidate for this role will have mix of administration and customer service experience and ideally have an interest in working within the legal sector. It is also important that you are able to maintain empathy for our clients and customers whilst helping resolve their queries.</p>
<p>We understand you might not tick all of these boxes, but we would encourage you to apply if you do have some of these skills:</p>
<p><b>Customer Service:</b> You will be dealing with incoming and outgoing calls from clients, beneficiaries and third parties with the utmost empathy and with a drive to support and drive forward queries to a solution.</p>
<p><b>Attention to detail:</b> You will handle original documents, drafting and reviewing correspondence.</p>
<p><b>Communication:</b> Completing new file setups, including detailed reviews of all required legal documents for each estate. Contacting third parties for outstanding information related to existing estates. Liaising with our Finance team internally to pay debts and expenses on estates.</p>
<p><b>Time management:</b> You will need to demonstrate time management skills in your day-to-day role, ensuring all tasks are delivered within company SLA&rsquo;s.</p>

<li>Working closely with the Chief Technology Officer and Senior Management Team you will ensure the IT Strategy is implemented effectively and targets are met</li>
<li>Leading and managing IT change projects across the business, being accountable for making and delivering against project plans, liaising with and leading stakeholders, maintaining project documentation, and reporting status to the Senior Management Team.</li>
<li>Leading the IT team in delivering:</li>
<li>Comprehensive internal IT support, managing relationships with key IT providers, and overseeing laptops, peripherals, telephony, and business applications, while ensuring robust IT controls are in place to protect the business and its data</li>
<li>Software development for applications used by the businesses including Proclaim (our legal case management system), our external-facing portal, our management information reports and our data warehouse, ensuring development time is accurately recorded to enable the business capitalise IT costs where possible.</li>
<li>Line-managing the IT Team, providing day-to-day people management, progression planning and tracking, objective setting and evaluation, and team leadership.</li>
