The Clinical Operations Coordinator (COC) is a key role supporting the delivery of Edmonton North Primary Care Network (PCN) clinical programs and services. Reporting to a Manager of Clinical Services and working in collaboration with the administrative team, the COC provides administrative and logistical support to operations ensuring the smooth delivery of centralized and integrated (decentralized) programs and services.

Position

The specific responsibilities of the Clinical Operations Coordinator include, but are not limited to:

Administrative Support

  • Supports various meetings and committees with agenda preparation, minute taking, monitoring actions, distributing meeting materials, and booking meeting space
  • Collaborate with management to coordinate supply orders
  • Receive, process, and monitor facility requests
  • Providing basic technical support for office equipment and software

Operational Coordination

  • Ensure that provider, clinic, Fax maker and other Electronic Medical Record (EMR) information is accurate
  • Support appointment reminder call system
  • Support the processing of declined referrals, patient attachment, and physician changes
  • Assist in the development and maintenance of standardized operational processes
  • Assisting with the training and onboarding of new staff members
  • Organizing and coordinating special events or workshops

Room Booking

  • Collaborate with administrative team and management to book client rooms for group programs and interview rooms for individual clinician use
  • Maintain room bookings, process ad hoc space requests and changes
  • Proactively identify space conflicts and notify management team accordingly
  • Directly interacting with stakeholders to resolve scheduling issues or other administrative concerns
  • Communication Liaison
  • Promote effective communication between management, staff, member physicians, and relevant stakeholders
  • Ensure timely notification of risks and issues impacting operations.

Documentation and Reporting

Maintain accurate and up-to-date records, ensuring compliance with organizational policies and regulatory requirements

Manager, Clinical Services


Education

  • High School Diploma or equivalent is required
  • Certificate or coursework in secretarial or office administration, or a related field are assets.


Experience

  • Minimum of two (2) years in an administrative role
  • Proficient in the use of Microsoft Office Suite (Excel, Word, Outlook, PowerPoint, Visio) required
  • Experience working with electronic medical records (EMR) a definite asset
  • Previous experience with developing standard operating procedures an asset
  • Strong background in administration.
  • Proficient in office software (Microsoft Office suite)
