JOB TITLE: MEDICAL RECEPTIONIST

REPORTS TO: RECEPTION MANAGER

HOURS: ·

Monday – Friday : 5 x 5.5 shifts

Hours : either 8.00am – 1.30pm or 1.00pm – 6.30pm

Cover of Extended Access Clinics nights 6.30-8.30pm – maximum of twice a month, this will be paid at time and a half.

MAIN PURPOSE OF POST

To provide a point of contact for patients.

To facilitate effective communication between patients and the Primary Health Care Team and to promote a positive image of the practice to its patients and service users.

KEY RESPONSIBILITIES

Reception duties

  • Ensure efficiency of appointment system and monitor flow of patients into consulting and treatment rooms
  • Ensure patients without appointments, needing urgent treatment are dealt with sensitively whilst minimizing disruption to the surgery.
  • Explain Practice arrangements and formal requirements to patients requiring medical services.
  • Advise patients of relevant charges for private services, accept payment and issue receipts
  • Respond to queries and requests for assistance from patients and visitors
  • Record home visit requests ensuring all relevant information is recorded. Refer to the duty doctor when necessary.
  • Receive and make calls on behalf of the practice.
  • Divert and transfer calls and take messages in line with practice procedures
  • Action requests for ambulance transportation.
  • Scanning and indexing of documents
  • Monitoring and auctioning Practice email account
  • Action tasks sent to reception
  • Monitor Footfall and allocate queries as per protocol

Appointments

  • Ensure familiarity with computerized appointments to include incidental and regular variations.
  • Book appointments and recalls, ensuring sufficient information has been recorded.

Repeat prescriptions

  • Action repeat prescription requests in line with agreed practice protocols and within agreed quality standards. (Controlled drugs are exempt)
  • Provide point of contact for queries concerning repeat prescriptions, ensure follow up action is taken for outstanding queries
  • Check prescription collection regularly. Bring uncollected prescriptions to the attention of the appropriate doctor.

Medical records

  • Provide medical records to doctors when requested.
  • Retrieve and file records accurately and in a timely manner
  • File correspondence, reports and results in accordance with practice procedures
  • Ensure records are kept in good repair and information is amended as appropriate on manual and computer records

Consulting rooms

  • Prepare consulting rooms in readiness for each surgery
  • Check consulting rooms at the end of each session, ensuring all correspondence/filing is dealt with and rooms are left tidy and secure.

Opening/closing procedures

  • Ready premises for patients and doctors
  • Secure premises at closure of surgery to include activation of alarm
  • Ready reception for following surgery

KEY RESPONSIBILITIES – Professional

§ To maintain personal development by attending courses/study days as identified by the Partners.

§ Participate in the education and training of staff and students

§ To contribute to the development of the practice by participating in Practice meetings as required.

Job Description

If you have excellent communication skills and are a people person, you may be just the sort of person we are looking for to join our busy Medical Reception team, working part-time, up to 30 hours per week (plus some occasional holiday/ sickness cover).

Working on the surgery’s front desk, you will be the first point of contact for our patients, signposting them to the most appropriate clinician or source of help for advice, greeting patients, taking calls, making patient appointments and issuing prescriptions.

We aim to provide a friendly, caring environment for our patients, the ethos for which extends to our dedicated staff, who all support each other whilst remaining committed to making a real difference for patient outcomes. This is evidenced through the positive feedback and compliments we receive as a surgery and for which we are very proud.

This is a busy and fulfilling job and requires a flexible mindset, a welcoming and empathetic team spirit and a ‘can-do’ attitude. Operating over two surgeries on the outskirts of Newbury, within 15 minutes’ drive of each other, this rewarding part-time position will be based over both practices.

Our ideal candidates will be able to demonstrate that they have the required skills for the role and whilst experience as a Receptionist in a GP Surgery is desirable, training will be given to the right persons. All new staff follow a comprehensive minimum two-week Induction program and shadow experienced staff their first couple of weeks. We encourage professional development and learning, the majority of which is undertaken online through e-Learning.

Morning shifts commence 8:00 until 13:30, afternoon shifts 13:30 to 18:30 with the option to cover some late evening surgeries (up to 20:00) plus working extra hours to cover annual leave and other absences and occasional Saturday mornings for extended surgeries.

Can offer between 20-30 hours per week. Various shifts available. To work at Kintbury Surgery AND Woolton Hill Surgery. Hours can be negotiated.

Tarleton Group Practice has an exciting opportunity for an experienced and enthusiastic Medical Receptionist to join the practice which is located in Tarleton Village.

The ideal candidate will ideally be experienced in EMIS Web, have excellent customer service skills and be a well organised and efficient, dedicated team member.

Main duties of the job

KEY RESULT AREAS & MAIN RESPONSIBILITIES

1. Maintain the electronic appointments system:

  • Ensure the efficiency of the appointment system, according to practice guidelines.
  • Manage the appointment system so that patients are able to see the appropriate clinician in appropriate time and manner.
  • Ensure that patients without appointments, but who need to be seen urgently are seen in accordance with current protocol (Urgent Care Practitioners).
  • Record home visits requests for GPs / district nurses.
  • Process urgent house calls to the on-call Doctor, in line with practice protocol.

2. Client care:

  • Meet & greet patients & visitors to the practice with courtesy and a smile; maintaining a professional corporate image at all times.
  • Communicate with patients & the primary care team in a pleasant and helpful manner.

Respond to all queries and requests for assistance from patients and visitors.

  • Answer telephone calls within 10 seconds where possible and respond to queries promptly.
  • Take messages and ensure that Information is passed on accurately and with the appropriate urgency.
  • Monitor the flow of patients into consulting and treatment rooms; keeping patients informed, with apologies if necessary, of any possible delays in the appointments system.
  • Explain Practice arrangements to new patients and temporary residents.
  • Receive requests for repeat prescriptions and pass on for processing.
  • Ensure samples received from patients are collected & handed to the courier each day.
  • Ensure reception and waiting areas are kept clean and tidy.
  • When required, Contact external Health Care providers for test results for Doctors and patients.

3. Administration:

  • Retrieve and re-file records as required (including electronic patient records); making sure that all records are available for urgent consultations and visits.
  • Maintain patient paper & computer records; including sorting, filing, scanning & copying.
  • Collect and enter data on to the clinical system, using appropriate read codes.
  • Ensure that all correspondence, reports and results are sorted in chronological order on day of receipt for scanning.
  • Check all clinical rooms at the start/end of each surgery ensuring that they are kept clean and tidy, including bed rolls and computers are turned off/on.
  • Check and stock up clinical rooms with appropriate forms/ stationery needed.
  • Maintain stocks of stationery & patient information on reception – i.e. maternity packs, practice information leaflet, newsletter, appointments slips, new patient packs, etc.
  • Recording all income & issuing receipts to patients.
  • Update status board with births, deaths and admissions and record on EPR.

4. Team work:

  • Work flexibly with colleagues to cover the opening hours of the surgery.
  • Attend training sessions where relevant to work.
  • Facilitate the communication between other members of the Primary Health Care Team.
  • Open up the surgery in the morning including de-activating the alarm and preparing for the day’s work.
  • Activate the surgery alarm and ensure the security of the building on leaving.

5. Ensure compliance with Data Protection & Caldicott requirements.

6. Any other duties as deemed necessary bearing in mind the ever-changing needs within the Practice. Including relief cover for other administration staff as required
