The Opportunity

The Office Assistant will support the entire business ensuring its smooth day to day running of the office. By quickly developing an understanding of the complexity of the work we do, this important role will be the first point of contact for all business administrative needs such as office upkeep, IT, facilities management, office socials and events.
By building a close working relationship with the Exec team, learning about preferred ways of working, anticipating questions and responding to feedback.
This will involve meeting requests, managing emails, planning their diary, organising appointments and coordinating global travel logistics, all whilst responding to changing priorities.
- You will ensure that the Matter office is a welcoming and safe environment for all employees and visitors – ensuring that coffee and snacks are always in supply, the building is always under good maintenance conditions, and that the office is clean, tidy, and organised always with our technology displayed professionally at all times
- You will support the executive team, including managing their inbox and actions, managing their diary and meetings, booking and coordinating travel, and providing other executive support (for example minutes or deck creation) that they might require from time to time
- You will act as the Matter social and events representative – creating, costing, and sourcing varied, fun, and inclusive quarterly socials (and ad-hoc socials), source and coordinate catering for Matter’s monthly lunch clubs and lunch and learns and any other events we host.
- You will manage the Matter company diary – booking and coordinating all regular company meetings such as our weekly Monday Morning Meetings, or quarterly All Hands Meetings, and any other company-wide calendar events
- You will be responsible for ensuring all our internal business information is stored in an organised and accessible manner, and that our company intranet, SharePoint is continuously kept up to date with the most up-to-date information for employees
- You will be responsible for analysing, compiling and reporting on business administration data and KPIs
- You will coordinate delivery and shipment requirements of the business
- You will build strong, professional, and collaborative relationships with internal and external stakeholders
- You will work with other members of the team to drive the business through the next phase of growth

About you
You’ll be a superb communicator with experience in a similar role, and your time and project management skills and attention to detail will make you a stand-out member of the team.
To succeed you should be detail-oriented, professional and have excellent written and verbal skills.
Self-assured, positive and calm under pressure, and ready to meet tight deadlines while working at pace, you should also possess excellent computer skills, with a particular focus on the MS Office suite of software.
- Proven track record of working in a similar varied role in an SME environment
- Impeccable attention to detail
- Previous experience working in fast-changing, adaptable environments
- Experience with managing large office projects such as an office move or IT overhaul
- You possess the skill to have conversations across all levels (e.g. high-level discussions with executives and very detailed operational discussions with the team)
- Experience managing multiple diaries, coordinating important meetings across time-zones
- You have the ability to undertake a range of tasks with changing priorities for a range of stakeholders
- Excellent time management and prioritisation skills with the ability to hit key deadlines
- Strong professional written and verbal communication skills – able to communicate internally and externally with a wide range of individuals in a clear and consistent manner
