Job Overview
The role of Assistant to operations manager is responsible for providing high-level administrative support. This includes ensuring seamless coordination of daily activities and contributing to the overall efficiency of the Operations manager workflow.
Responsibilities
- Acting as first point of contact for callers, being responsible for managing calendars, scheduling meetings, appointments. Ensuring the Operations Managers time is used efficiently.
- Handling incoming and outgoing communication on behalf of the Operations Manager, including managing emails, phone calls and written correspondence
- Responsible for gathering and summarising information, including producing customers quotations.
- Offering meeting support, which may include preparing materials and documents for meetings, attending meetings, taking notes, and following up on action items and decisions.
- Keeping the Operations Manager files and documents organised and ensuring important information is readily available and accessible.
- Supporting the Operations Manager in delegating tasks to other team members and updating operations manager with progress.
- Dealing with sensitive and confidential information, maintaining a high level of discretion and professionalism at all times.
- managing databases, filing systems and the ability to learn company specific software.
- collating and filing expenses
Qualifications / Skills
- High level of PC Skills, with a minimum of intermediate understanding of excel.
- Excellent written, verbal and numerical skills.
- Strong attention to detail.
- Proactive, can-do attitude.
- Excellent attendance and timekeeping along with flexibility.
- Ability to handle multiple tasks and prioritise workloads.
- Good organisational skills.
- High energy level and creative problem-solving abilities.
- Must be able to work on own initiative and be proactive. Working as part of a team is also essential.
- Working to strict deadlines.
- Demonstrable experience working in a similar role at Senior Director/Board level
Job Type: Full-time
Pay: £30,000 – £35,000
