Job Overview
The role of Assistant to operations manager is responsible for providing high-level administrative support. This includes ensuring seamless coordination of daily activities and contributing to the overall efficiency of the Operations manager workflow.

Responsibilities

  • Acting as first point of contact for callers, being responsible for managing calendars, scheduling meetings, appointments. Ensuring the Operations Managers time is used efficiently.
  • Handling incoming and outgoing communication on behalf of the Operations Manager, including managing emails, phone calls and written correspondence
  • Responsible for gathering and summarising information, including producing customers quotations.
  • Offering meeting support, which may include preparing materials and documents for meetings, attending meetings, taking notes, and following up on action items and decisions.
  • Keeping the Operations Manager files and documents organised and ensuring important information is readily available and accessible.
  • Supporting the Operations Manager in delegating tasks to other team members and updating operations manager with progress.
  • Dealing with sensitive and confidential information, maintaining a high level of discretion and professionalism at all times.
  • managing databases, filing systems and the ability to learn company specific software.
  • collating and filing expenses

Qualifications / Skills

  • High level of PC Skills, with a minimum of intermediate understanding of excel.
  • Excellent written, verbal and numerical skills.
  • Strong attention to detail.
  • Proactive, can-do attitude.
  • Excellent attendance and timekeeping along with flexibility.
  • Ability to handle multiple tasks and prioritise workloads.
  • Good organisational skills.
  • High energy level and creative problem-solving abilities.
  • Must be able to work on own initiative and be proactive. Working as part of a team is also essential.
  • Working to strict deadlines.
  • Demonstrable experience working in a similar role at Senior Director/Board level

Job Type: Full-time

Pay: £30,000 – £35,000
