Brockwood Park School is a small, friendly, international boarding school and we are looking to appoint a permanent School Secretary for an immediate start. This an extremely varied and busy role, in a small office, where no two days are the same. We are seeking a good all-rounder: someone with excellent administration skills, great at multi-tasking, can work on their own initiative and with a real ‘can-do’ attitude.
About the Role
- Reception and Communication: Manage the school’s front office, serving as the first point of contact for visitors, students, and parents. Answering phone calls, greeting visitors, signing in guests, accepting deliveries, and responding to administrative emails.
- Attendance and Records: Preparing weekly attendance sheets for use by staff and updating weekly fire lists.
- Reports and Correspondence: Coordinating teacher reports, proofing and formatting documents, and communicating with parents via email and letters.
- Event Support: Assisting with the organisation of key events, including Parents Weekend and Trustees Meetings.
- Ordering and Inventory: Managing stationery supplies, ordering academic diaries, and keeping accurate records of purchases.
- Data Management: Completing annual census returns, maintaining holiday records for staff, and ensuring up-to-date telephone and contact lists. Ensuring data entry is accurate and up-to-date in the school system.
- General Support: Coordinating transportation arrangements, managing bookings and supporting school trips organisation, maintaining school mobiles, and issuing international phone cards to students.
- Utilise Google Suite for document creation, spreadsheets, and presentations as needed.
- Ensure the office environment is welcoming and organised.
The post holder may also be required to perform duties other than those given in the job description for the post. The particular duties and responsibilities may vary from time to time without changing the general character of the duties or the level of responsibility entailed.
What we are looking for
Essential:
- Has excellent organisational and multitasking skills.
- Communicates effectively, both verbally and in writing.
- Demonstrates proficiency in IT systems and data management.
- Proficiency in Google Suite applications (Docs, Sheets, etc.)
- Ability to perform data entry accurately with attention to detail.
- Is flexible and adaptable to the dynamic needs of a school environment.
- Can work independently and collaboratively as part of a team.
Desirable:
- Previous experience of working in a school environment
- Experience of compliance documentation
Terms of Employment
- Monday to Friday, between 09:00-17:00 (can be 08:30 start)
- Occasionally required to work on weekends (e.g. Open Mornings or Parents’ Weekend)
- Full-Time position
- Salary of £24,600 per annum
- Statutory holiday entitlement
- Vegetarian lunch is provided free of charge
- An offer of employment will be subject to a probation period of 6 months
- Brockwood Park is a smoking free environment including the Grounds
