Job Purpose Administration services underpin all of our clinical activity at Devon Partnership NHS Trust, which means our dedicated and enthusiastic administration workforce is vital to the delivery of first class care. The post holder will provide comprehensive administrative support to the assigned team.

There will be an expectation for the post holder to be highly motivated, flexible and multi-skilled with Excellent organisational skills. The post holder will have high standard of skills using Microsoft Office packages and experience of using bespoke IT systems. The post holder will need to meet deadlines, collate data and maintain standards relating to administrative processes. They will need to be able to work within a team effectively and share work streams where appropriate.

The role will involve the coordination and implementation of office procedures and will require a high degree of organisational skills and excellent working knowledge of administrative systems. Duties and Responsibilities Key Responsibilities include: Work within an administration team supporting clinicians who provide community mental health services Comprehensive diary management Meetings administration; taking and distributing formal minutes; recording clear actions and following these up to check completion; maintaining attendance records Frequently inputting complex and sensitive data relating to people who use our services onto electronic patient records system Support the manager and team by ensuring that records are up to date on all staffing and patient systems as required and that items are dealt with quickly and efficiently on finance systems. Job Description
-CONTEXT

The strategic objective of the Marketing business is to sustainably maximise cash flows from the marketing of Anglo American’s and third parties’ mined products, and related services. As we prioritise the most value accretive activities of Marketing, we have set ourselves a target to deliver a considerable uplift in value contribution to Anglo American.

PURPOSE

Provides proactive and wide range of administrative and general support to the team to enhance departmental efficiency, productivity and communication in a highly responsive and confidential manner.

KEY TASKS

Daily Departmental Administration

  • Communicate and/or coordinate instructions and business requirements with various individuals and/or departments
  • Organize and maintain correspondences and records, following up on pending matters with limited direction
  • Accurate tracking records maintained e.g. Gifts, Entertainment & Hospitality Register, monthly travel overview, daily attendance/travel schedule
  • Ensure compliance with Legal with respect to conference registrations
  • Process invoices for the teams supported using online tool
  • Order stationery and other consumables for the teams supported
  • Coordinate new starters onboarding for the teams supported
  • Proactively support other Team Assistants with events organisations and administration

Diary management for the COO

  • Schedule and coordinate appointments and arrange meetings taking into account time differences and deadlines
  • Flight, transfer and accommodation bookings and visa applications made in accordance with company travel policy
  • Liaising with travel agent, managing booking, visa applications and following correct procedures, in line with company travel policy.
  • Ensure diary is up to date with travel info
  • Expenses prepared and reconciled

Meeting and events management

  • Logistics of conferences, quarterly management forums and Board meetings arranged including venues, equipment, catering, dinner arrangements, off-site excursions, transportation, guest room bookings, etc.
  • Tele- and video-conferences arrangement
  • Booking rooms, catering and equipment using online tool

Operational support

  • Act as trainee, support the teams in COO department on PowerPoint, Word document or Excel spreadsheet preparations
  • To be familiar with Sales Operations tasks so that can provide back-up to these roles, should it be required

Projects

  • Participate in projects with other TA team member(s) as and when required

People:

  • Demonstrate behaviour in line with the Group’s values, standards and a professional workplace
  • Participate as an effective team member in working collaboratively with Executive heads, Marketing team, peers and relevant others (including from other teams where relevant) to achieve business goals

Qualifications
-Qualifications:

  • Good standard of general education
  • Recognised secretarial qualification an advantage

Specific Knowledge requirements:

  • Proven track record of experience in a role and context of similar complexity
  • Familiarity with travel and expenses booking tools
  • Strong organisational skills with the ability to prioritise and multitask – Strives for excellence
  • Excellent verbal and written communication skills
  • Ability to maintain confidentiality and use initiative
  • Attention to detail and commitment to deadlines
  • Work calmly under pressure
  • Strong ability to work with multiple parties including setting up of Customer meetings – internal and external
